Some of our most valuable team members often work behind the scenes. With so many moving components and teams at play, maintaining organisation is key. Although our work is the result of many diligent teams, there is one who helps to co-ordinate between them – the Production Scheduler.

We sat down with our Production Scheduler to find out what a day in her life was like, and who might want to consider becoming a Production Scheduler.

The Production Scheduler Role

“The production scheduler role is similar to conducting an orchestra. You’re responsible for ensuring that all the players and instruments come together to make the final symphony. The role requires working with a lot of people and getting involved with almost every part of the business. It’s challenging but satisfying to co-ordinate behind-the-scenes and see everything come together.”

As a Production Scheduler, my role includes much of the production and organisation of production elements to ensure customer orders are fulfilled in a timely manner. It requires strong flexibility to deal with problems, and work around them without issue. As with anything in life, things don’t always go smoothly when there are problems like machine malfunctions or personnel on sick leave. Being able to catch these issues early and adapt just becomes second nature. There’s never a dull moment!

How does the day-to-day for a Production Scheduler, look?

A typical day begins with a daily meeting with all production teams involved to understand any issues, challenges and forward planning for the day ahead. This could be delivery deadlines, staff shortages, or issues with machinery, all will be addressed first thing. Everyone has a voice in the production team and it’s this time of day especially, that their issues are worked around. No one wants a customer’s product to be delayed so we work hard to put measures in place from this meeting.

After this, the day truly begins and this can really vary on the day-to-day due to the nature of the role. The first task after the daily meeting and establishing any potential issues is dealing with them. So, the start of my day could be amending work schedules, communicating with procurement and logistics teams to resolve or firm up delayed deliveries, and liaising with technicians for fixing machinery. Whatever the issue, it’s important that I’m able to be proactive, adaptable, and responsive.

The second part of my day revolves around loading and planning orders. When customers provide us with information about upcoming launches beforehand, it allows me and our operations teams to create capacity and order components. This includes ingredients, bottles etc, before they’re needed means we’re more likely to be able to provide the product when customers need it. This can also include liaising with our customers and procurement teams to negotiate timelines and staffing levels.

As the day begins to draw to a close, it’s important to assess the day’s production and identify any issues that may have arisen during the day. Talking with production team members helps to stay updated on the state of production. All of which means that I can start pre-planning for the next day. It’s a cycle of consolidation, action, and planning, on repeat that helps to ensure we continue to produce products each day and efficiently use all our capacity.

What makes the Production Scheduler role so important?

Production is the conceptualisation of a customer’s product that’s been imagined by the customer and passed through R&D and design teams. Months of work have already happened before we get the production order. As the Production Scheduler, my role is to ensure the transition from concept to reality is as smooth as possible from receiving the product order to producing, packing and sending it out of our doors.

On any given day I could be managing between 700-1000 dependencies that require some form of forethought or action, to ensure those products pass through our lines and departments, to schedule. In the operations team, we put the puzzle pieces together to create the complete picture and realise exactly with the customer wants. And I am here to oversee and organise those puzzle pieces so that they fit correctly.

It's this, that really makes being a Production Scheduler a rewarding role. Seeing the plan come together as products leave the facility, knowing that the hard work of multiple teams helped to deliver this product to shelves. Even for those products that may have had roadblocks along the way; getting these out on time despite the problems offers a great feeling of satisfaction.

What does the Flavour Development Department do?

The journey always begins with a customer brief handed to us by the sales team. This usually relays all the necessary information from a customer that they’re looking to receive from us, be it flavour profiles, certain ingredients, overall theme etc. We then create a checklist to go through for flavour development – is the flavour intended to be candy sweet or subtly sweet? Is the flavour complex or simple? Is it a combination of flavours?

This process itself can be lengthy as we must first develop the flavour, especially if it’s a new or a unique variation – this is often the most challenging and rewarding type of flavours to create. Once we’ve put together the flavour it must then be tested with the customer, and this can go back and forth a few times until the perfect flavour is made. Even the slightest adjustment can mean a lot in terms of flavour – if it’s not quite got that fruity sweet flavour the customer imagined then we work on it some more to ensure it does.

We specialise in providing what the customer wants and need. Every flavour we create will be somewhat unique to them; a specific flavour profile that won’t be available elsewhere. Even with common flavours like fruits or menthol, we like to ensure that your flavours stand out from the crowd. And with over 2000 flavours already created, there’s still a lot of room for variety.

UK Becomes the First Country to Regulate CBD Market

The UK has recently become the first country to regulate orally consumed CBD products. Currently, CBD has been touted as a novel food group item or supplementary, but the new move to regulate CBD hopes to “de-risk” CBD (Cannabidiol) to spur innovation. With a clear set of guidelines for orally consumed CBD products, there is a growing likelihood of improvement in the sort of products offered.

In response to this move, the FSA (Food Standards Agency) and the ACI (Association for the Cannabinoid Industry) has created a list featuring CBD products. These products have been given the green light to remain on shelves in line with the UK’s new novel foods regulations. Products that do not appear on the list can no longer be sold.

Ensuring these guidelines are met by CBD products not only helps to ensure the quality and safety of products in England and Wales, but also for investors looking to take part in the CBD industry. Trading Standards will also be enforcing the new rules with immediate effect on retailers selling CBD products.

Regulating orally consumed CBD products

From February 13th, 2020, no new CBD extracts, isolates or associated final products using the novel ingredient CBD, are allowed to be sold until they receive the necessary authorisation. Products that were available beforehand were required to send an application for assessment by the FSA. The complete process of evaluation can take around a year to complete. One month is allowed for the validation process, then up to nine months for the risk assessment, and up to seven months for any subsequent risk management and authorisation decisions.

Most applicants will be manufacturers of CBD brands including us here at Xyfil. A detailed dossier must be provided for existing and new orally consumed CBD products.

There are three parts involved. Firstly, part one should contain all administrative data such as information relating to the applicant. Part two should contain information specific to the novel food (along with a list of references) such as:

  • identity of the novel food
  • production process
  • compositional data
  • specifications
  • the history of use of the novel food and/or its source
  • proposed uses and use level and anticipated intake
  • absorption, distribution, metabolism and excretion
  • nutritional information
  • toxicological information and allergenicity

Part three should include the glossary or abbreviations of terms quoted in the dossier, certifications (on the accreditation of laboratories, certificates of analyses), full copies/reprints of all pertinent scientific data (published and unpublished), full study reports and scientific opinion of national/international regulatory bodies.

Ensuring the quality of the dossier, and the information provided significantly affects the time needed for assessment and authorisation.

As production manager for our lab, I oversee the formulation of products and work to create an effective and efficient task force. This is ensured by planning and delegating work to meet daily production goals. Not only this but I run the procurement for lab items along with the key E-Liquid ingredients, ensuring only the highest quality of food-grade PG, VG and pharma-grade nicotine. Products are not released from the laboratory to the production lines until they’ve been past final quality checks. It’s an important task that helps ensure quality and safety.

By implementing root cause analysis and taking corrective actions, I have helped to remove production constraints and improve product quality since taking the post. Our laboratory staff see continuous improvement and training to ensure the quality of products that are processed. As part of managing my team, recruiting for new positions, and ensuring my staff have no issues and work in optimum conditions, is paramount.

What does the day-to-day look like for Xyfil’s lab?

I can honestly say every day is a new day. Days can differ depending on the products and formulations we are running for our customers. We have six talented lab technicians and two supervisors who run our lab work.

At the start of the day, lab technicians are given a recipe list that contains encrypted flavour names to protect customers’ recipes. Quality checks go underway immediately to check the quality of the gathered ingredients and equipment. To minimise on wastage of ingredients and nicotine formulations, we run QC checks with tight parameters. Many formulations can be re-used whilst still holding a premium quality, but should they fail QC checks then these are disposed of.

Every stage of the process, from weighing flavours to the mixing of the ingredients, is overseen by a supervisor to reduce any possible human error. All work is signed off to allow for full tracking of the product so that if an issue does arise, we can track back the work and amend it to reduce any impact that it could create.

Once the batch is produced, a sample can be gathered after being authorised by the supervisor, to go for testing. This checks for irregularities, impurities, nicotine strength, consistency and more. After all these checks and tests have been completed and signed off, the product can then move to production.

We are constantly looking to improve our processes to create even more streamlined methods. Already we’ve seen improvements thanks to GMP standards and our hard work to achieve GMP certification. Having been able to increase our production capacity is a clear sign of our dedication to continual improvement.

E-Liquid suppliers with award-winning nicotine salts

There are two meaens of production that we provide with our laboratory facilities.

We provide bulk production services for white label E-Liquid manufacture. This includes us gathering the E-Liquid ingredients and flavourings to the spec of the customer’s recipe, producing the E-Liquids and flavours, and packaging these for our customers.

Our lab also offers a blending process for white label E-Liquids. This process relies on pre-existing formulations that we have developed and produced that are ready to go straight into production for customers’ products.

Due to the unique versatility of our lab facilities, we also offer ad-hoc requests for a variety of products, tailored to your needs. If you have an idea for a new nicotine-based or CBD product we can surely help. Apart from our white label capabilities, we offer bespoke solutions for product manufacture and development.

With our extensive resources and renowned nicotine salts formula, we are even able to offer the bulk dispatch of flavour ingredients and pre-mixed, finished nic salts for customers to use with their own formulations. Our aim is to help you create award-winning E-Liquid brands and flavours.

Ensuring premium quality E-Liquids and CBD

At Xyfil when we say premium quality, we mean it. I am proud to say that we are among the first E-Liquid manufacturers in the country to be certified to GMP standards, with ISO 22716:2007 certification recently having been reached.

One of the ways we continue to pride ourselves in our premium E-Liquids is through our method for nicotine extraction. Our laboratory boasts an HSE verified nicotine enclosed system for nicotine extraction, to ensure that staff are protected during the process and that the quality of nicotine is without impurities. Much like this, at every stage of the process in the lab, we run tight quality control checks that are repeatedly checked by supervisors to complete thorough analyses.

For example, before an E-Liquid formulation can be assembled, all ingredients and tools must be gathered and double-checked to ensure their quality and efficiency. Only after these pre-checks are fulfilled can the formulation be put together. Mixed flavours and batches are first checked for any impurities or issues before being sent for testing and analysis. Only after passing these initial checks can batches be sent for testing, and upon passing all criteria, then be sent onto production lines for bottling.

Overall, I’m proud of the team I have created and the lab I have helped flourish into one of the many necessary hearts of the business. The benefit of shortfills

Shortfills were the industry’s answer to TPD regulations restricting nicotine-containing E-Liquids to only 10ml. For many vapers, especially those who vape regularly, a bottle of 10ml doesn’t last long. Vapers regularly had to carry many bottles at one time to be able to top up their tanks.

The creation of shortfills aimed to solve this problem. These nicotine-free E-Liquids are available in several sizes, usually 50ml and 100ml, but they are packaged in bottles that are slightly oversized. By allowing space in the bottles, it allows for nicotine shots to be added thereby creating a much larger amount of E-Liquid that is both cost-effective and easier for vapers. Shortfills also allow for the creation of even more complex flavours and variations within the VG/PG ratio.

Shortfills also lend themselves to smokers looking to control their nicotine intake. By being able to add your own nicotine, vapers can limit the amount of nicotine they vape. This makes this type of product perfect for those looking to quit nicotine or enjoy Sub Ohm vaping and don’t want to accidentally inhale too much nicotine.
