You will be reporting to our operations Director and will be managing the facilities and health and safety of all Xyfil operations and sites.
Main Duties and Responsibilities:
Responsible for ensuring a safe and clean work environment for all employees in line with ISO9001, GMP and Health and Safety standards.
- Maintenance of the facilities to ISO9001 and GMP standards
- Managing and maintaining planned schedule of inspections and maintenance of facilities and equipment – Fire Alarms, Extinguishers, Lifting/Moving equipment, Utilities, Waste and Recycling
- Managing cleaning crew
- Managing reactive maintenance as they arise in a quick and efficient manner.
- Engage, manage, and supervise External contractors, third parties on site for maintenance and renewal works as required
- Ensure speedy resolution of any emergency maintenance requests
- Track and manage spend on maintenance and health and safety activities
- Support the delivery of on-going projects and future projects
- Create process and procedures as required
- Ensure preventative maintenance of equipment and site is in place
- Undertake or assist around the factory with building maintenance and issues
- Responsible for ensuring health and safety compliance of facilities and staff – Noise Assessments, Fire Safety, First Aid Training, Fire Marshalls
- Manage Health and Safety training
- Ensure signposting and safety awareness is observed on site
- Risk Assessments
- Manage Annual Health and Safety Audits
Requirements:

Role Purpose
To provide effective administrative and operational support across the business, ensuring key records, registers, documentation and routine activities are maintained accurately and efficiently. The role supports Quality, Health & Safety, Facilities, Reception and the wider Operations team.
Key Responsibilities
- Maintain key Operations, Quality and Health & Safety records, registers and supporting documentation.
- Support ISO 9001, GMP, audit, non-conformance and continuous improvement activities.
- Maintain staff administration records including rotas, holidays, absences, inductions, training, lockers, uniforms and PPE.
- Support routine facilities administration, including cleaning supplies, stationery and other operational purchasing requirements.
- Provide reception cover, including answering calls, welcoming visitors, handling post and maintaining meeting/reception areas.
- Raise purchase orders and assist with general procurement and supplier administration.
- Maintain staff information boards, notices and operational communications.
- Support routine reporting, data collation, spreadsheet work and basic analysis.
- Assist with job sheets, reconciliations and other routine operational documentation.
- Provide general administrative support to the Operations Director, Operations Manager and wider Operations team.
- Assist with projects, process documentation, procedure mapping and other operational improvement activities as required.
Skills & Experience
- Strong organisational and administrative skills.
- Good attention to detail and record keeping.
- Confident using Microsoft Office, particularly Excel, Word and Outlook.
- Able to manage multiple routine and ad-hoc priorities.
- Good written and verbal communication skills.
- Comfortable working with different departments and levels of the business.

The Role
Take ownership of the management, maintenance and development of Xyfil’s facilities and sites, reporting to the Operations Director. You’ll ensure our buildings, equipment and working environment are safe, clean and fit for purpose — coordinating maintenance, contractors, cleaning and site services, and supporting improvement projects in a hands-on manufacturing environment.
Key Responsibilities
- Facilities Management: Own day-to-day site management, inspections and standards (ISO 9001, GMP, company policy); maintain accurate records
- Planned & Reactive Maintenance: Run a PPM programme (fire systems, utilities, electrical/mechanical, building infrastructure, waste facilities, etc.) and manage reactive/emergency repairs, prioritising by urgency
- Contractors & Suppliers: Source, engage and manage contractors and service contracts; review quotes and monitor performance
- Cleaning & Site Services: Oversee cleaning standards, waste/recycling and welfare/communal areas
- Compliance: Ensure statutory inspections, certifications and audit actions are completed; support ISO 9001/GMP alongside H&S and Quality teams
- Budget & Cost Management: Track facilities/maintenance spend against budget, identify savings, and report to the Operations Director
- Projects & Improvements: Support site development and improvement projects, coordinating contractors and delivering to time, budget and standard
- Hands-On Support: Undertake basic repairs and equipment moves/set-up where competent, and support the wider Operations team as needed
Skills & Experience
Essential: Facilities Management/Maintenance experience, managing contractors and planned/reactive maintenance, strong organisational and problem-solving skills, good communication across all levels, good IT skills (MS Office), comfortable in a busy manufacturing environment
Desirable: Manufacturing/production experience, ISO 9001/GMP experience, Facilities Management or IOSH qualification, budget management experience, PPM/maintenance software experience, knowledge of building services and statutory compliance
Personal Attributes
Proactive, organised and hands-on — able to spot issues early, manage multiple priorities under pressure, and work confidently with contractors, suppliers and colleagues at all levels. Commercially aware and committed to high standards.

The Role
We’re looking for an experienced Health & Safety Manager to lead the development and day-to-day management of Health & Safety across Xyfil’s operations. Reporting to the Operations Director, you’ll ensure a safe working environment, drive legal compliance, and build a strong safety culture in a hands-on, fast-paced manufacturing setting.
Key Responsibilities
Health & Safety Management
- Own the day-to-day management of Health & Safety across all sites
- Develop, implement and maintain H&S policies, procedures and documentation
- Ensure ongoing legal and regulatory compliance
- Advise managers and employees, and promote a positive safety culture
- Carry out regular workplace inspections, tracking actions to completion
Risk & Workplace Assessments
- Develop, review and maintain risk assessments for activities, equipment and processes
- Identify hazards with managers/employees and implement controls
- Coordinate specialist assessments (noise, manual handling, COSHH, fire safety, etc.)
- Review assessments after incidents or changes to working practices
Training & Fire Safety
- Identify training needs and manage H&S training programmes, including Fire Marshal and First Aid
- Maintain training and competency records
- Manage fire risk assessments, emergency procedures and drills
- Liaise with external providers on fire safety systems and equipment
- Maintain H&S signage and communications
Incident Management & Audits
- Manage reporting, recording and investigation of accidents, incidents and near misses
- Identify root causes and implement corrective/preventative actions
- Run the annual internal audit programme and prepare for external audits
- Report on H&S performance to the Operations Director
Contractors, Quality & ISO
- Ensure contractors and third parties comply with Xyfil’s H&S requirements, including inductions and documentation checks
- Support ISO 9001 and GMP standards, and related internal/external audits
- Work with Operations and Quality teams to maintain high standards
Skills & Experience
Essential
- Experience in a Health & Safety role, ideally in manufacturing or operations
- IOSH qualification
- Strong knowledge of workplace H&S requirements, risk assessment and fire safety
- Experience running inspections, audits and training programmes
- Excellent organisational, communication and record-keeping skills
- Self-starter, comfortable working independently across all levels of the business
Desirable
- NEBOSH qualification
- Experience in a GMP and/or ISO 9001 environment
- Experience with incident investigations, COSHH, and regulatory/auditor liaison
