Operations Assistant

We are looking for a pro-active and organized Operations Assistant who will be able to carry out tasks through to a successful conclusion. The successful candidate will be organized, efficient, able to work quickly, and accurately under pressure. The candidate must be determined, enthusiastic, and energetic with great attitude.

Operations Assistant Duties:

  • Manage the inbox/outbox of the manager and create daily and weekly plans
  • Plan and progress work activities
  • Main point of contact  for manager; screening phone calls and escalating relevant queries
  • Support Manager with Data Analysis, Manage Weekly and Monthly reporting activities
  • Support troubleshooting and problem resolution and escalation
  • General admin duties as and when they are needed
  • Responsible for ensuring orders are being progressed
  • Supporting Project work and Process and Procedure mapping  and specifications development
  • Managing ISO9001 activities for Manager such as Improvement Log, Quality Tracking and Performance Managing
  • Provide monthly reports eg. for marketing activity, campaigns, ROI etc
  • Expected to fulfil all relevant health and safety, product quality and product safety requirements, policies and procedures as may be relevant to the job role and to working for Xyfil in line with ISO22716
  • Essential Criteria
    • At least two years experience in a similar role
    • High level of interpersonal skills including the ability to be able to interact with people across the business

Stock Controller

We are a Preston-based manufacturer and producer of some of the most diverse ranges of products, so there’ll never be a boring day in the office! Our range of products vary from our award winning vape e-liquids, to CBD drops and cutting-edge hand sanitisers, with plenty more in the pipeline to come.

We are looking for a dynamic and self- motivated Stock Controller to join our rapidly growing MyVapery Team to manage stock and inventory levels.

Key Responsibilities 

· Forecast supply and demand to maintain the required stock levels in line with international demand

· Keep up to date with stock levels globally at destination and ensuring stocks are ordered from manufacturers on time

· Maintaining of re-order quantity and re-order level

· Keep updated inventory levels and records (including daily shipments)

· Keep abreast of sales levels and forecasting for highs and lows

· Evaluate suppliers’ offers and negotiate profitable deals to keep within budget

· Placing and received orders to replenish stocks as needed

· Arrange and track shipments internationally; in and out as well as resolving delays

· Maintain all sku product information and spec sheets for current and future products

· Maintain and update daily shipment records, as well as purchase and pricing reports

· Perform regular inventory audits

· Pass on all the necessary information on to the compliance team

· Expected to fulfil all relevant health and safety, product quality and product safety requirements, policies and procedures as may be relevant to the job role and to working for Xyfil in line with ISO22716

Knowledge, Skills, Experience and Qualification Requirements

  • · A minimum of two years experience as a stock controller in a similar industry· Proficient in inventory management software, such as Zoho Inventory and Katana· Computer literate with experience of warehouse management software and databases. Competent user of MS Office packages, in particular Excel.· In-depth knowledge of inventory management principles and best practices· Extensive experience in supply chain data analysis· Superb negotiation, collaboration and communication abilities· Good level of numeracy and literacy· Ability to work under pressure and to deadlines

Production Scheduler

Production Scheduler

We are currently looking for a Project Scheduler to join our busy team in Preston!

Salary: £25,000 – £30,000

 

Production Scheduler Duties:

  • Create and maintain schedules orders for formulation/filling and despatch using workers and resources in the most effective manner
  • Ensure timely issuance of schedule to relevant teams and update schedules based on staffing levels, machine issues etc
  • Work cooperatively and proactively with the procurement team to ensure that all components (Flavours, Bottle, Labels, Boxes and Packaging) is in stock and sourced prior to requirement
  • Liaise with sales team, product specifications, accounts team, dispatch teams to ensure that orders are only progressed and released once specification is complete and signed off, deposits received, and credit terms are observed. This ensures that financial risk is kept to a minimum
  • Monitor progress of schedule on daily basis, resolve issues and non-conformance and put in place solutions to prevent re-occurrence of production errors
  • Communicate delivery dates in a timely manner with customers or sales staff and assure on time delivery of orders to spec.
  • Ensure that deadlines are met
  • Work closely with the across the business sales team to ensure that demand is aligned with production requirements
  • Monitor progress of schedule on daily basis, resolve issues and non-conformance and put in place solutions to prevent re-occurrence of production errors.

Production Scheduler Requirements:

  • 2 years Production planning and scheduling capabilities in a manufacturing environment
  • Demonstrate experience scheduling production activities
  • Planning knowledge
  • Ability to work well with several teams simultaneously
  • Ability to work well under pressure in a complex environment
  • Attention to detail – ability to successfully schedule multiple activities linked to multiple picklists
  • Excellent interpersonal skills
  • A team player who can work collaboratively and demonstrate initiative at the same time
  • Motivation to perform daily tasks at the highest standards
  • Previous industry work experience in pharmaceuticals or medical devices preferred but not essential
